We keep this simple: your business data belongs to you. Here's what we collect to run Coachverge, why we collect it, and how you can control it.

Who we are

Coachverge is a fitness coaching business platform built and operated by Digidoers India Private Limited, a company incorporated in India under the Companies Act, 2013. Our website is digidoers.com.

This Policy is mainly for coaches and fitness businesses who visit our website, start a trial, or use Coachverge to sell and manage their content. For your Coachverge account, we are the data controller/data fiduciary. For your members or end customers, you decide what data is collected and how it is used, and we process that data on your behalf as a service provider/data processor under our agreement with you.

What we collect

We only collect what we need to run the platform:

  • Coach account info — your name, business name, email address, and password (always hashed, never stored in plain text).
  • Billing details — information needed to manage your plan, payments, invoices, and refunds. Full card details are handled securely by our payment provider.
  • Platform setup and content — branding, videos, programs, pages, messages, forms, and other content you add to your coaching platform.
  • Member/customer data processed for you — information your members or end customers submit through your platform, such as account details, access activity, messages, survey answers, and purchases.
  • Usage and preference data — information about how coaches and authorised users use Coachverge, including searches, video activity, and feature usage.
  • Technical data — device, browser, app, session, error, and security information needed to operate and protect the platform.

We do not intentionally collect government IDs, full financial account numbers, full card numbers, or CVV. Any fitness goals, preferences, limitations, or health-related notes from members are processed only when your platform collects them for features you enable, such as onboarding, support, personalisation, or content recommendations.

How we use it

  • To run your Coachverge account — set up your workspace, manage your subscription, host your content, and operate the features you use.
  • To support your coaching platform — deliver your content to members, process member actions inside your platform, and support features you enable.
  • To support you — respond to coach/business enquiries, onboarding requests, support tickets, and technical issues.
  • To manage billing and records — process your subscription, invoices, refunds, taxes, and related account records.
  • To improve Coachverge — using anonymised, aggregated data to build better features.
  • To communicate with you — send receipts, account notices, security alerts, onboarding messages, and product updates where permitted.
  • To protect the platform — monitor errors, audit account activity, prevent fraud, secure accounts, and diagnose technical issues.
  • To comply with the law — meet our obligations under Indian tax, accounting, legal, and financial regulations.

AI and search: Some platform features may process search queries, video titles, descriptions, transcripts, and related metadata through AI/search providers to support search, recommendations, and content discovery inside your coaching platform. We do not sell your data, and we do not permit customer personal data to be used to train external AI models unless separately disclosed and permitted by law.

Who we share it with

We only share data with trusted service providers who help us run Coachverge, under strict data processing agreements:

  • Payment processors — to process your Coachverge subscription, refunds, and payment verification.
  • Email and communication providers — to send account, payment, support, service, and marketing emails where permitted.
  • Hosting, storage, and infrastructure providers — to host the platform, store content, run backups, and keep the service available.
  • Video hosting and streaming providers — to upload, process, secure, and deliver your coaching video content.
  • Analytics, error monitoring, and security tools — to understand platform usage, fix bugs, monitor performance, and protect accounts.
  • Accounting and compliance providers — to manage invoices, tax records, reconciliation, and legal obligations.
  • AI/search providers — to support intelligent search, recommendations, and content discovery where those features are enabled.

We may also disclose your data if required by Indian law, a court order, or a government authority — and only to the extent required.

We do not sell your data to any third party, ever.

Your rights

Under the Digital Personal Data Protection (DPDP) Act, 2023 and applicable laws, you have the right to:

  • Access — request a copy of the data we hold about you.
  • Correct — fix any inaccurate or incomplete data.
  • Delete — ask us to erase your personal data ("right to be forgotten").
  • Withdraw consent — opt out of marketing emails or non-essential data processing at any time.
  • Complain — lodge a complaint with the Data Protection Board of India if you believe we've mishandled your data.

To exercise any of these rights, email us at support@coacheverge.com. We aim to respond within 1-2 business days.

If you are a member or end customer of a coach using Coachverge, please contact that coach first about your privacy request. We will assist the coach where required because they control how their member data is used.

Cookies

We use cookies to keep you signed in, remember your preferences, and understand how the platform is used. Here's the short version:

  • Essential cookies — required for login and security. Always on.
  • Functional cookies — remember your settings and preferences. Optional.
  • Analytics cookies — anonymised usage data via Google Analytics. Optional.

You can manage or withdraw cookie consent at any time through your browser settings or our cookie preference panel.

Data retention

We keep coach account data and data processed on your behalf only as long as needed for the purposes described in this Policy, including providing the platform, maintaining coach accounts, resolving support issues, meeting legal, tax, accounting, audit, fraud-prevention, and security obligations, and enforcing our agreements.

  • Coach account data — retained while your account is active, then deleted or anonymised after account closure unless we need to keep it for legal, billing, security, backup, or dispute purposes.
  • Payment, invoice, refund, and accounting records — retained as long as required for our tax, accounting, audit, chargeback, and legal obligations.
  • Member/customer data — retained according to your platform settings, our agreement with you, and any lawful instructions you provide.
  • Usage analytics and technical logs — retained only as long as needed for analytics, product improvement, security, troubleshooting, and fraud prevention, then deleted or anonymised where practical.
  • Support conversations and email activity — retained as long as needed to provide support, maintain service records, resolve disputes, and improve service quality.
  • Backups — may retain deleted information for a limited period until backup cycles overwrite it.

You can request a full data export or deletion at any time by emailing support@coacheverge.com.

Children

Coachverge is not intended for anyone under the age of 18. Under the DPDP Act, 2023, we do not knowingly process personal data of children without verifiable parental or guardian consent where required.

Coaches and business customers must not use Coachverge to collect or process children's personal data unless they have the required parental or guardian consent and a lawful basis under applicable law.

If you believe a child has created an account without consent, please contact us at support@coacheverge.com and we'll review the request promptly and delete the data where appropriate.

Security

We take reasonable and industry-standard measures to protect your data:

  • Data is protected in transit using TLS/HTTPS, and stored systems are protected through access controls, infrastructure security, and backups.
  • Passwords are hashed and never stored in plain text.
  • Full card payment handling is delegated to Stripe.
  • Access to your data within our team is strictly limited by role.

If you suspect a security issue with your account, contact us immediately at support@coacheverge.com.

Changes to this policy

If we make significant changes, we'll notify you by email at least 14 days before the change takes effect. Minor corrections or clarifications may be made without notice, but we'll always update the date at the top of this page.

Continuing to use Coachverge after the effective date means you accept the updated policy.
